1. Job Purpose
The Supply Chain Assistant is an entry-level role that supports the smooth, compliant and cost-effective flow of materials and finished products, from purchase requests and supplier follow-up, through receiving, storage and stock control, to order dispatch and customer delivery. Working under supervision, the Assistant keeps accurate supply chain records, helps ensure that the right products are available at the right time and in the right condition, and supports the Company’s GMP/GDP and audit requirements. This is a development role: the post holder will receive on-the-job training and increasing responsibility as competence is demonstrated.
2. Key Responsibilities
Duties are carried out under supervision and reviewed regularly; the Assistant is expected to learn the Company’s SOPs and systems quickly and follow them exactly.

- Obtain and compare supplier quotations and record them for review and approval.
- Follow up with suppliers on order confirmation, delivery dates, documentation and outstanding items.
- Maintain the supplier database and keep supplier contact details, certifications and price lists up to date.
- Track open orders and flag delays that may affect production or sales to the Supervisor.
2.2 Receiving and Warehouse Support
- Assist with the receipt of raw materials, packaging materials and finished goods: check deliveries against purchase orders, delivery notes and invoices, and record any shortages, damages or discrepancies.
- Raise and update Goods Received Notes (GRNs) accurately and on time.
- Help keep storage areas organised, clean and safe, with items correctly located and segregated.
2.3 Inventory and Stock Control
- Record stock movements (receipts, issues, returns, transfers) accurately in the stock records and accounting system (Tally Prime).
- Participate in daily, cycle and periodic stock counts; reconcile counts to the records and report variances for investigation.
- Monitor stock levels against minimum and reorder levels and raise timely reorder alerts.
2.4 Order Processing, Dispatch and Distribution
- Process customer orders and invoice requests as directed, checking product, quantity and batch availability.
- Prepare dispatch documents (waybills, delivery notes, packing lists) and coordinate pick, pack and loading with the warehouse team.
- Coordinate with drivers, transporters and regional representatives, and track deliveries until proof of delivery is received.
- Follow up on goods returns, short deliveries and customer complaints, and record them for the Supervisor.
2.5 Documentation, Records and Reporting
- Maintain organised physical and electronic files: purchase orders, GRNs, delivery notes, invoices, stock sheets and proofs of delivery.
- Prepare simple daily and weekly reports in Excel: stock position, pending orders, deliveries and expiries.
- Support internal and external audits and regulatory inspections by retrieving records quickly and accurately.
- Hand over complete and accurate records to the Accounts team for invoice matching and payment processing.

| Minimum Education | Bachelor’s degree in supply chain management, Procurement and Logistics, Business Administration, Purchasing, Accounting or a related field. |
